Application Checklist

Apply for a Passport NOW! Applications available at the local post office OR online at: http://travel.state.gov/passport/  Current processing time is at least 3 to 4 months. It is very important to apply early. If you already have a passport check the expiration date and renew if necessary.

Select and apply for a program prior to deadline. Deadlines are generally around March for Fall programs, October for Spring programs, and January to March for summer programs. 

If you have selected a UA Summer program, apply with this form through the Office of Study Abroad (OSAIE). 
 If you have selected a UA Exchange program, apply with this form through OSAIE.
 If you have selected a Non-UA program (a program where credit is awarded through another university or organization) contact OSAIE for program approval and then:
     Submit a Petition to Study Abroad to OSAIE
    Apply for your chosen program by following the guidelines in the program materials

   Submit your acceptance letter to OSAIE

Apply for Financial Aid and/or Scholarships. Contact the Scholarship Office and Financial Aid Office as well as your study abroad advisor for information on scholarship opportunities. Submit the FAFSA to financial aid office to determine your eligibility for federal grants and loans.  

Request a budget from the Office of Study Abroad. If you will receive scholarships and/or financial aid bring an itemized list of the program costs (“estimated student budget”) to the study abroad advisor. This information is generally provided in your acceptance packet. If not, contact your program provider and they will provide this information.  OSAIE will produce a budget to be faxed to the Financial Aid and/or Scholarship Office.

Meet with your Financial Aid Counselor and/or Scholarship Office. Pick-up your completed budget from Study Abroad to bring with you to your appointment. Please note that we cannot complete your budget until we have received your Petition to Study Abroad .

For all non-UA and Exchange programs, complete the Credit Pre-Approval Form form by taking course descriptions to the appropriate department on campus who will assign a UA course equivalent.

Pay program deposit and return all requested paperwork to your program provider. Notify the Office of Study Abroad if you need to ask for a payment deferment until your funds have dispersed.

 Submit a copy of your passport to OSAIE.

Obtain overseas health & accident insurance if not already provided by the program. If you already have insurance ensure that it covers you while overseas. Your study abroad advisor can advise on suggested minimum coverage and refer you to insurance providers.

Attend all study abroad orientation sessions. You will be notified by e-mail of dates, times, and location of these sessions. Be sure to check your e-mail and notify the OSAIE if your e-mail address changes.

Apply for visa if applicable. A visa is required to enter some countries. Visas must be obtained prior to your travel outside of the To find out if a visa (i.e. student, tourist) is required, visit http://www.embassy.org/, or visit OSAIE, or contact your program administrator. If you have traveled to this location in the past and did not need a visa do NOT assume that you will not need a visa for study abroad. Always verify the entry requirements for your destination early.

Obtain an International Student ID Card if your program does not include as part of program fee. Benefit information is available at http://isicus.com/MyISIC/. These cards cost $22 and will provide many discounts abroad as well as supplementary accident and travel insurance. One passport photo and verification of enrollment must be submitted with the application.
